Top tips to organize sustainable events
The compact size and variety of choices / services that are available make organizing sustainable events in Tallinn so much easier, and to help you get started, we have gathered a list of top tips on how to organize sustainable events.
Marketing toolkit
Media Bank. The Visit Tallinn Media Bank contains inspiring, high-resolution photos, promotional videos, and a wide range of Tallinn tourism brochures for downloading and ordering.
Promotional videos. In addition to downloading photos from the Visit Tallinn Media Bank, it is also possible to use videos uploaded on YouTube, that can be used to promote Tallinn as a destination. Some videos suitable for promoting your event in Tallinn are:
Logos. The event organiser can name the City of Tallinn as a supporter in the event’s marketing materials (including website). For this purpose, it is possible to use both the official logo of Tallinn and the logo of Visit Tallinn.
About the destination. When planning or bidding for your event in Tallinn, Visit Tallinn is happy to help you with both inspirational and practical information about the city. The easiest way to introduce Tallinn as the destination of your event is to refer directly to our website, www.visittallinn.ee, where visitors can find information about the city's public transport system, major attractions, events, activities, restaurants, and many other relevant topics in five different languages (English, Estonian, Russian, Finnish, and German).
In addition, it is possible to use the unique selling points about Tallinn, which give inspiring reasons for choosing Tallinn as your next travel or event destination.
MTLG Award. Since 2010, the Kongres Magazine has been presenting the most interesting meeting destinations to international meeting planners. The L-destinations are cities that can host up to 2000 conference attendees, and Tallinn was the best meeting destination in 2023. How we can help
Tallinn Card special offer. Tallinn offers the opportunity for delegates of international events to purchase Tallinn Cards with a discount. There is a lot to discover in Tallinn outside conference or event rooms and Tallinn Card can add an extra holiday to a work trip either before or after the event. The card also provides the attendee’s family or companions a convenient and entertaining opportunity to discover the city.
Free public transport for events. Tallinn offers the opportunity to apply for free public transport for delegates of international events and events of local importance (conferences, cultural and sports events). Please note that the application process requires a local partner, as the system that is used is in Estonian language and Estonian ID is needed to submit the application. FAM trips and site-inspections. Visit Tallinn offers professional services to all business associates. This includes information and advice on planning visits to Tallinn – whether as a destination for holidays or meetings and incentives, or for individual or group visits.
International conference support grant. Conference organisers may apply for support from the City of Tallinn for international conferences that meet the following criteria:
- Conferences taking place in Tallinn within 18 months of submitting the application:
- Conferences taking place between 1 January and 31 May or between 1 September and 30 November;
- Conferences with a programme lasting at least two consecutive days and including a substantive part of the conference lasting at least 4 hours per day on both days;
- Conferences with an attendance of foreign delegates from at least two foreign countries;
- Conferences with at least 50 foreign delegates in January, February and March and at least 100 in April, May, September, October and November.
The maximum grant for one conference can be up to 35,000 euros. Compensated costs may include venue rent, organising costs, reception costs, AV services, promotional materials and tours.
Conferences will be evaluated based on the number of days of participation by foreign delegates and the conference programme topic. The grant recipient must organise the conference in a sustainable, environmentally friendly way.
Regulations and permits
Certain activities are regulated by law in Estonia and may require legal permits or explicit permission from land or product owners. Visit Tallinn has gathered some important regulations to keep in mind when organising an event or creating visual content in Tallinn.
